London (City of) SALARY: £42,000 - £45,000 PER: Annum TERM: Contract

A global financial services business focused on structural growth markets with offices in the city of London are currently actively recruiting for a dynamic, highly capable and versatile EA to support the Chairpersons office alongside one other EA on a part time basis 3 days a week.

 

WHAT YOU’LL DO

  • Provide secretarial support
  • Deal with telephone enquiries and screen calls
  • Manage and control elements of the Executive’s diary and other relevant department systems
  • Manage emails (responding where appropriate, diarising and filing)
  • Arrange meetings and catering and provide additional meeting support as appropriate (e.g. produce supporting paperwork, greeting visitors)
  • Liaise with external offices of regulators and other key teams
  • Direct channel of communication with Board Level secretaries on a range of plc related matters
  • Coordinating travel arrangements, this includes coordinating flights, booking accommodation, transfer and currency arrangements for the Director and their team
  • Create and maintain filing systems for the department
  • Assist in the administration and management of the support services for the department
  • Prepare and produce confidential documents, Board papers, reports and correspondence for the department by using the most appropriate Office software
  • Complete expense claim processes on behalf of the Executive using Workday
  • Manage invoice processes, including maintaining appropriate records in line with agreed department budget

 

WHO YOU ARE

  • Experienced in a secretarial environment at a senior level
  • Strong communication and inter-personal skills
  • Positive team player Advanced computer literacy (Word, Excel and PowerPoint)
  • Organisational and administrative skills
  • Attention to detail and accuracy in all work
  • Ability to work on own initiative and prioritise work
  • Ability to work under pressure and cope with competing and changing demands
  • Discretion and integrity in handling strictly confidential and sensitive information
  • Interest in understanding the work of the department so as to be able to increasingly assist over time with the department’s administration work
