As a Management Team Assistant, you will play a central role in supporting the management team in their day-to-day activities and ensuring the smooth functioning of the organisation.
Responsibilities
- Act as a trusted and reliable point of contact for the management team, handling inquiries and providing timely and accurate information
- Responsible for the smooth functioning of the CEO-Office with all administrative requirements
- Be the go-to person for our team members for general enquiries and support at the office
- Manage complex calendars and schedule appointments, meetings and travel arrangements, meeting preparation and reception of customers and other external stakeholders
- Prepare and edit correspondence, presentations, protocols and reports for internal and external stakeholders
- Support contract management and customer relationship management
- Event (space) management, advertising and coordination, organization of guest bookings
- Facility management, coordination and organization of external companies
- HR support (digitalization, trainings and conference management, onboarding and offboarding, time and absence management)
- Marketing support (social media, website, communication)
- Conduct research and gather data to support decision-making and strategic initiatives
Requirements
- Proven experience as an executive assistant, management assistant, or in a similar role supporting senior executives
- Exceptional organizational skills with the ability to prioritize tasks and meet deadlines
- Strong communication skills, both written and verbal, with the ability to interact effectively with stakeholders at all levels
- Proficient in Google Workspace, Microsoft Office Suite (Word, Excel, PowerPoint) and other relevant software applications – Jira (Atlassian suite) of advantage
- Detail-oriented mindset with a commitment to delivering high-quality work
- Ability to handle confidential and sensitive information with the utmost professionalism
- Excellent problem-solving skills and the ability to adapt to changing priorities
- Proactive attitude and a willingness to take initiative and go the extra mile
- Residence near Basel or willingness to move to Basel / Switzerland
- An “early bird” who likes to start at 08:00 AM
- Fluent in German and English
